Print Solutions for Healthcare & NHS
Secure print release, GDPR-conscious workflows and dependable Kyocera and Olivetti devices for GP practices, NHS teams, clinics and private healthcare providers — with a guaranteed 4-hour engineer response.
How we work with healthcare & nhs
In healthcare, a printer is part of the patient record chain. Referral letters, prescriptions, discharge summaries, appointment lists and consent forms all pass through a shared device, often in a corridor or reception area where anyone could pick them up. DBL Systems designs healthcare print environments so that documents containing patient data are only released to the person who sent them, every page is attributable, and the device itself does not become a place where data lingers.
We supply Kyocera and Olivetti multifunction devices for GP surgeries, dental and specialist clinics, NHS team offices and private healthcare providers. Installation covers network integration with your clinical systems' print output, scan-to-email or scan-to-folder for records workflows, and configuration of the device's own security features — user authentication, encrypted storage and job clearing — rather than leaving factory defaults in place. When a device leaves your site at end of contract, we collect it, securely wipe the internal storage and can supply a data sanitisation certificate.
Reliability matters as much as security. A clinic cannot run a session around a broken copier, so maintenance customers get a guaranteed 4-hour engineer response with all parts, labour, toner and wastebox included, plus proactive safety checks and cleaning. Where continuity is critical, we can specify a second smaller device or a short-term rental so a single failure never stops a clinic list.
Built around healthcare & nhs requirements
Confidential print release
Jobs are held on the server and released only when the clinician or administrator authenticates at the device — nothing containing patient data sits in an open output tray.
GDPR-conscious workflows
Per-user job logging, minimal retention, encrypted device storage and automatic job clearing, configured to support your practice's data protection policies and audit needs.
Built for clinical environments
Devices specified for reception, records and clinical office use — quiet, quick to first page, and reliable through busy clinic lists.
Scan-to-records workflows
Scan-to-email, scan-to-folder and searchable PDF output configured for referral, consent and correspondence filing into your existing systems.
4-hour engineer response
Guaranteed response for maintenance customers, with all parts, labour, toner and wastebox included, so a device fault never becomes a clinical delay.
Secure device decommissioning
Outgoing devices are collected, storage securely wiped and hardware responsibly recycled — data sanitisation certificate available on request.

Healthcare & NHS print questions
Is your PaperCut deployment GDPR compliant?+
PaperCut is a tool, so compliance depends on how it is configured — and that is where we add value. We deploy it with secure print release so documents are only produced when the authenticated user is at the device, per-user job logging for accountability, and retention settings kept to what your practice actually needs rather than open-ended. Combined with device-level authentication, encrypted internal storage and automatic job clearing, that gives you a print environment that supports your obligations under UK GDPR. We are happy to document the configuration for your data protection records.
How do you stop patient documents being collected by the wrong person?+
Secure print release. A job stays held in the queue until the person who sent it authenticates at the device with a card, PIN or login, then prints immediately in front of them. Uncollected jobs expire automatically instead of being printed to an open tray.
What happens to the data on the copier when the contract ends?+
We collect the device, securely wipe its internal storage and responsibly recycle or refurbish the hardware. A data sanitisation certificate is available on request for your asset and information governance records.
Can you support multiple sites — several surgeries or clinics under one group?+
Yes. We standardise the fleet across sites so every location has familiar devices and consumables, with centralised PaperCut reporting by site, department or cost centre and one contract and support number for the whole group.
How quickly can an engineer attend if a device fails during clinic hours?+
Maintenance customers have a guaranteed 4-hour engineer response within our coverage area, including all parts, labour, toner and wastebox. Our engineers work across London, Surrey, Middlesex, Kent, Essex, Hertfordshire, Hampshire and Sussex from our Hampton Wick base.
Do you lease to NHS and private healthcare organisations?+
Yes. You can purchase outright, take an all-inclusive lease with maintenance and consumables built into a fixed monthly cost, or use a short-term monthly rental for temporary clinics and cover periods.
