The main things that set the price
- A4 vs A3: A3 machines are bigger and cost more, but print posters, plans and booklets.
- Mono vs colour: colour devices cost more to lease and colour pages cost more to print.
- Print volume: how many pages you print each month decides the device speed you need.
- Lease term: a 5-year lease lowers the monthly payment; a 3-year lease lets you upgrade sooner.
- Finishing options: stapling, hole-punching and booklet-making add to the cost.
- PaperCut: print management software adds a small cost but usually saves more than it costs.

Cost per page explained
On top of the monthly lease, you pay a small charge for each page printed — often called a "click". It covers toner, parts and servicing, so you don't buy toner separately.
Mono (black and white) pages are much cheaper than colour pages. If most of what you print is internal documents, keeping them in mono makes a big difference to your bill.
Lease vs rent vs buy
- Lease: fixed monthly payment over 3–5 years with everything included. Best for most offices and schools.
- Rent: monthly or quarterly with no long commitment. Good for projects, events or short-term cover.
- Buy: pay up front and own the device; maintenance is arranged separately.
